White Hart lane. For those of you who are not aware, Sapphire hold an
executive box at the famous Tottenham Hotspur grounds. Guests can

dining facilities, free car parking and their own waiter or waitress
to cater to their every need; team this with the amazing location
above the half way line and I’m sure you’ll agree that it truly is
an experience not to be missed - and one that would usually cost a
spectator an amazing £300 per seat! With that in mind, we have
decided that the top prize winner in our draw may choose from the
Football tickets, the Amazon vouchers or the Magnum of Champagne.
The second place winner may then pick from the remaining two prizes
and the runner up will receive whichever is left. I hope that you
agree this fair and apologise if any offence or confusion were
caused.
Carrying on in the vein that the customer comes first, we realise
that times are hard with the current economic downturn and so
throughout the year, we will be running a number of seminars
focusing on system pain points and suggesting solutions and ways in
which you can improve your cash flow management. We are also
offering site audits to ensure that you are using your system
efficiently and getting value for your money – please speak to your
account manager for further details.

Welcome to the first
Sapphire newsletter of 2009. If you are a new Sapphire client I
would like to introduce myself. If you are an old Sapphire hand
please bear with me. My role as Client Service Director is varied
but largely consists of acting as a point of reference and
escalation for Sapphire’s clients. If you feel there is something
that needs the attention of a senior member of the Sapphire team
then please feel free to contact me. I am always interested to hear
from clients so if you have any thoughts on how we work with you and
indeed if you have any suggestions on how we can improve our service

We are still analysing all of the feedback from our customer
survey but, from a quick glance, the results look very positive and
we will publish them in due course. Because of the high level of
product knowledge and experience within Sapphire I would expect the
feedback on support and consultancy to be very positive. What I
always find doubly encouraging is when we get praised for having a
good, client focused attitude and a personable and professional
manner. I pulled out the following comments from the feedback that
has arrived so far:

That final comment about how much we value the business that clients
bring to us is very pleasing to read. On the day that they join the
company, Sapphire staff are told that it is you, our clients who pay
our salaries and it is a point that we never lose sight of.
For those of you who use our SAP Business One support services we
have some interesting news. Sam Rowland-Jones is spending 2 weeks in
Bratislava in Slovakia in March. Not on holiday but working with the
SAP development team at their invitation on testing the next release
of Business One. An indication of how much SAP value Sapphire and
the skills and knowledge of its team.
As I mentioned earlier, we are always ready to examine ways of
improving the service that we offer. I would be interested to know
how you think we can improve the service offered to you by our team
of Account Managers. Do you see your Account Manager often enough?
Do you prefer to communicate by phone or email or do you prefer a
face to face meeting? Does he or she keep you up to date with
matters of interest? Your comments on any of the above and your
general ideas on what you want from our account management team
would be much appreciated.
If we don’t speak in the meanwhile, I look forward to meeting you at
one of our 2009 client events.

Bridgeman Art Library to implement SAP Business One from Sapphire
Systems
LONDON, UK – 20 November 2008. Sapphire today announced that it is
to supply and implement the SAP Business One business management
solution at the Bridgeman Art Library.
The Bridgeman Art Library is the world’s leading source of fine art
with images from over 8,000 collections and 29,000 artists. They
represent museums, galleries and artists throughout the world by
providing a central source of fine art for image users.
John Cotter, Financial Controller at Bridgeman Art Library said “We
had a requirement for a solution that would be able to manage our
regional and international offices, including London, Paris, Berlin
and New York, along with the associated regional legislation.
Features required include multi currency and multi company
capability.” He went on to say “We did consider upgrading our
existing Sage Line 50 system to Sage Line 200; however, following a
review of the solutions available on the market we only really
looked in depth at Access Dimensions and SAP Business One. We soon

Esdevium Games selects SAP Business One from Sapphire
|
Europe’s leading distributor of hobby and gaming products
implements SAP Business One from Sapphire
LONDON, UK – 16 December 2008. Sapphire Systems today
announced that it is to supply and implement a 21-user SAP
Business One business management solution at Esdevium Games.
Alison Barrow, Finance Director at Esdevium Games, said
“Essentially we had outgrown the old system, and had started
to experience reliability issues, which was a real problem.”
Despite the Finance Team’s efforts to improve response
times, the performance of the system deteriorated and it
became difficult to provide essential management reports in
a timely fashion; meaning that the decision making process
for the management team was delayed.
The replacement solution needed to handle the increasing
sophistication of trade with both suppliers and customers;
streamline key processes to ensure that margins were
maintained and that diversification was possible without
losing control of the business.
Alison undertook a comprehensive review of the solutions
available including Access Accounts, MS Dynamics GP, COA and
SAP Business One, before short listing SAP Business One and
MS Dynamics GP.
Commenting on the decision to implement SAP Business One
from Sapphire Alison said “Ultimately SAP Business One was
deemed the best fit for Esdevium as it is more robust and
the order-processing seems more sturdy. We were also keen to
bring all processes into one system to improve efficiency
and allow the company to move to the next level without
adding headcount. Grant Thornton, who assisted Esdevium in
the search and selection process, recommended Sapphire to us
and we have not been disappointed. Sapphire have some great
references in our sector and gave a good response to the
tender we sent out. The subsequent demonstration they gave

Managing the whole business

How many managers really know what goes on inside their own
businesses? Judging by recent events, we might be forgiven for
assuming that the answer is ‘not many’. This statement becomes more
true the larger the business is. Research has shown that most people
in large international firms know very little of what happens in
departments or business units apart from their own. As a result,
people in one area of the business often don’t realise things are
going wrong elsewhere – until it is too late. In this article,
Morgen Witzel, honorary senior fellow at the University of Exeter
Business School, writing for FSN, suggests that it is time to look
at businesses more holistically.
The problem goes all the way to the top. Just a few months before
the collapse of Lehman Brothers, chairman Richard Fuld and his
senior executives were assuring the world, seemingly quite
sincerely, that the firm was still sound. They didn’t discover the
abyss beneath their feet until they had actually stepped over the
cliff.
We don’t manage big companies any more; we manage our own little
part of them, not knowing what is happening around us. Previous
writers have commented on how people in some business functions come
to feel detached from the rest of their own firm, and that as a
result their own work is being undervalued. In his book Marketing
and the Bottom Line (2000), Tim Ambler of London Business School
commented that marketing directors often feel they have to justify
their activities to the rest of the board. He also criticised boards
for spending too much time crunching financial data and not enough
on looking at marketing information.
On the other side of the coin, in his Reinventing the CFO (2006),
Jeremy Holt of the Beyond Budgeting Round Table argued that
traditionally, chief financial officers ‘were not expected to be
part of the team running the business’. Their job was to produce
accounts and manage budgets, not discuss big issues like marketing
and strategy. Holt believed this was producing an inferiority
complex in financial managers that in turn led to stress and even
mental health problems.
It was not always thus. Once upon a time, the manager’s job was to
manage every aspect of the business. In the fifteenth century, the
Florentine firm the Medici Bank had offices across Europe and agency
relationships as far away as China and Iceland. It had diversified
into mining, cloth manufacturing, transport and general merchandise,
and a portfolio of financial services including wholesale and retail
banking, foreign exchange, insurance and mortgage lending. Its
turnover, translated into modern money, was in the billions. It had
a tiny management team, whose members did everything. The head of
the Bank, Cosimo dei Medici, personally scrutinised all the company
accounts and approved every major decision in every field. He was
not unique.
Then at the end of the nineteenth century came scientific
management, and with it the atomisation of management, breaking
management down into its component parts and analysing each. The
first business schools took up this model and began to teach, not
management per se, but marketing, operations management, financial
management and so on. Today, nearly all business schools still teach
management in exactly this way, and most firms are still organised
with separate departments devoted to marketing, finance, HR,
operations and the like, each with its director on the board. The
same pattern is usually replicated down the line in smaller business
units.
The result is a series of silos, in which people are experts in
their own field but too often know nothing about what happens in the
office next door. It even affects people’s self-identity. Ask people
what they do for a living and they will say, ‘I am a sales manager’,
or ‘I am an IT manager’, or ‘I am a financial manager’. No one says
simply, ‘I am a manager.’
This is a problem because, as we are repeatedly told by people who
know, the only way to run a business is to know what is going on
inside it; not just in one’s own immediate environment, but
everywhere. In his recent book On Leadership (2007), Allan Leighton
comments that ‘before you do anything else, you need to know in some
detail what you sell or what service you supply and its impact on
customers. This may sound blindingly obvious, but it’s amazing how
few leaders take the time to their explore their business.’
Jacques Kemp, formerly head of ING insurance in the Asia/Pacific
region, likened the task of the manager to ‘connecting all the
dots’. In an interview for European Business Forum in March 2008, he
likened the task of the manager to that of an architect. It is not
enough to just have a grand design. The manager also needs to know,
in detail, how the design will be built and how it will work, so
that vital things like plumbing and electricity conduits go in the
right place, and so that the roof is built at the right pitch so it
does not leak.
Of course architects have consulting engineers and project managers
who tell them these things and advise them on what to do. But in
order to do their jobs well, architects have to have basic general
knowledge about how buildings are built. They must take a holistic
view and look at the whole structure, not just the layout of the
rooms and the decorative flourishes over the door. There is no point
in having a grand fountain in the courtyard if at the same time the
toilets don’t flush.
Managers even the specialists, need to learn to take that same
holistic view. Ultimately, every manager in every part of the firm
has a contribution to make to the firm’s success. But their
contribution only has impact if they work with other managers and
coordinate their efforts across functional boundaries. It is no good
hoping that the board will somehow pull everything together and make
things happen. Managers at every level need to come out of their
silos, start socialising within the firm, and find out what is
happening.
No one department or business unit is critical to success; they all
are. The key to successful management is to manage the firm as a
whole firm, not a collection of bits and pieces. Management as a
whole is far greater than the sum of its parts.

1. What is the difference
between cancelling and removing an item?
OBJECTIVE
You may have an item that you do not use and would like to delete it
from the system. If an item has no stock transactions attached to it
then it can be removed. An item that does have stock/transactions
against it can be cancelled to prevent it from appearing in the List
of Items.
PROBLEM
A removed item is totally deleted from the system and cannot be
restored. An item that has a stock transaction attached to it cannot
be removed. This item can be cancelled but it can be restored.
ANALYSIS
Make further use of options available under Data.
SOLUTION
a. Remove an Item. Open the Item Master Data Screen. Only
items that do not have stock or transactions against them
can be removed.

b. Cancel an
Item. Open the Item Master Data Screen. Once the item is
cancelled it will not show up in the List of Items, hence
users will not be able to create Marketing Documents that
contain the item.

Restore an Item after it has been cancelled. Once the item has been
restored, it can be used in Marketing
Documents again and will show up in the List of Items.

2. What is the difference
between modules and my menu option in SAP Business One ?
OBJECTIVE
In SAP Business One under main menu we have modules and my menu. You
can have all modules which you are generally using in SAP under one
window
PROBLEM
When a user wants to access sales order and later wants to access
any other menu like sales reports he/she has to click Sales AR->
Sales order and then needs to go to Reports and click the relevant
report

SOLUTION
a. Open Sales order window, go to tools ->My menu ->Add to my
menu

up my menu and click forms and saves under forms.

c. To access any other
window for eg; if the user wants to access Goods receipt under stock
management, this can be added to My menu window.

d. Add the same to
Forms. As a result the user will have all their preferred options
under My Menu and this can save the user time. They can also add all
reports, queries and links under the respective headings as shown
below.

3. How to
display the vendor reference number in the BP Account Balance
window.
OBJECTIVE
You wish to display the vendor reference number in the BP account
balance
SOLUTION
SAP Business One has no indigenous facility that enables a user to
display the vendor reference number in the BP account balance. The
field is not exposed in the form settings of the account balance. As
a workaround, one of the fields that is exposed in the window may be
used to carry the data, for example the field 'Details' in the
Journal Entry (JE):

By default, the 'Remarks'
field in the JE is populated by the data from the 'Journal Remarks'
field on the 'Accounting' tab of the AP invoice:

A formatted search (FMS)
using this query may be linked to the 'Journal Remarks' field and
thus copy the vendor reference number into this field, which may
then be exposed in the Account Balance window using the Form
Settings:

may also be changed by pressing Ctrl while doing a quick
double-click with the mouse:
