In this edition I am pleased to announce that, despite the current
economic crisis, Sapphire has been awarded the 2009 SAP Pinnacle
accolade in the Small – Mid Size Enterprise category. To be
acknowledged as the No. 1 SAP Business One reseller in EMEA is a
great achievement for us and we look forward to working closely with
SAP in driving our SAP Business One venture forward into the
international market supported by the opening of firstly our LA
office last year and now our office New York in April.
We are thrilled to expand our US operation from the west coast to
the east coast of America. This is an exciting time for Sapphire and
we look forward to continuing our development worldwide; in time we
aim to offer our customers 24 hour a day support as standard,
providing them with an outstanding service.
Finally, I would like to thank everyone that took the time to vote
for Sapphire in the Software Satisfaction Awards this year. Over
£600 was raised for Children with Leukaemia, which was a great
result, thank you very much.

2009 has been and
continues to be a challenging year for us all, however in the midst
of the economic downturn and subdued business environment we do see
positive signs maybe not quite the “green shoots of recovery” but a
bit more optimism when our account management team are talking and
working with you. We have picked up on a number of key issues that
people have been mentioning as important to them.

Over the last few months
Sapphire has been a hive of activity with a number of successful and
well attended client focused events. We have run seminars on
integration, document management and electronic procurement – with
the aim of helping you through these difficult economic times.
As I trust you are aware, we also run regular educational webinars
for our clients. Often these cover support issues. Sometimes they
are tricks and tips type events. Some of the more popular webinars
give you a chance to learn about aspects of SAP Business One that
you may not have been aware of. One particularly popular recent
session has been on the subject of the differences between SAP
Business One 2005A and 2007A. We are planning to run this once again

Sapphire to supply and implement the Proactis Spend Control solution
at RSCPA |

Sapphire Systems is happy
to announce that it is to supply and implement the PROACTIS Spend
Control solution at RSPCA a Royal Society for the Prevention of
Cruelty to Animals.
The RSPCA (The Society) is the oldest and best-known animal welfare
charity in the world, and is in the top 10 in the UK in terms of its
income. The RSPCA is not, as is commonly thought, one entity,
instead, the national society (for England and Wales) is formed of
the RSPCA headquarters, 5 regional headquarters and 35 associated
animal welfare sites. It also supports and assists 172 independent
volunteer-run charities (individual branches) that use the RSPCA
brand.
Head of Procurement at the RSPCA, Vickie Malyon, attended a Not for
Profit sector Procurement Special Interest Group at Sapphire in
December 2008. Vickie commented “I attended the Sapphire event as
the RSPCA had recently established a new Procurement team tasked
with controlling spend and saving money; we were keen to find out
more about what other charities were doing and how the process could
be automated and centralised.”
Following a formal evaluation process the RSPCA shortlisted PROACTIS
and 3 other solutions. Vickie explained “Our brief was to find a
web-based procurement system for use by The Society to place orders
on suppliers with flexible workflow to deal with our authorisation
processes and integrate with our SAGE 500 accounts system. The
system will be deployed across a wide range of users so ease of use
is essential, it also needs to scale for the future both in size and
functionality. We would eventually like to deploy additional modules
such as supplier management, contract management and PO flipping.
The fact that PROACTIS is used in many Not for Profit organisations
gave us great comfort, we also felt that Sapphire with their wide
ranging charity expertise stood out from the other potential
suppliers. Sapphire’s team was especially thorough during the pre
sales period and impressed the RSPCA not only with their knowledge
of PROACTIS but their experience in managing the change that comes
with a new business system”.
The new PROACTIS system
will start rolling out across the organisation towards the end of
March next year. The RSPCA expects the system to yield a number of
benefits including risk management; by introducing efficient and
effective ordering and invoice processing procedures, greater
visibility and control of the RSPCA society’s procurement activity
and ultimately, savings. The balance of power will be shifted away
from suppliers back into the hands of The Society. Automation of
paper based systems will also eliminate time wasted by staff whose
primary focus is the welfare of animals.
Vickie continues “We look forward to PROACTIS being able to provide
a simple clearly defined procurement process for all parts of The
Society and a one stop shop for all our purchasing needs.”
Clare Howard, Business Development Manager at Sapphire, concluded
“We are delighted to be welcoming the RSPCA to Sapphire’s growing
PROACTIS customer community. PROACTIS will provide the RSPCA with
the visibility it needs and will empower it to make relevant
business decisions at the outset of the procurement process. The

Sapphire Systems today announced that it is to supply and implement
SAP Business One at London Mining Plc.
London Mining is a global company that has been in operation since
2005. Its principal activities are the development and operation of
iron ore and coal mines to provide raw materials for steel
production and energy generation.
The finance team at London Mining had been using Sage Line 50 for
its accounting purposes, however it was identified that a new system
was required to support their continued global expansion. A major
challenge was the fact that the system couldn’t handle
multi-currency requirements, a feature that was newly needed when
the functional currency of London Mining changed from GBP to USD in
2008.
Additional key features of the new system identified by London
Mining included the ability of the system to operate in numerous
languages including Chinese and Spanish to support the company’s
global operations. The new system also needed to be preloaded with
local GAAP for London Mining’s overseas operations in addition to
IFRS.
An accounting system project team at London Mining undertook a
review of suitable accounting solutions on the market before
short-listing an upgrade to Sage Line 500 and SAP Business One from
Sapphire – as recommended to them by SAP. Sage Accpac and Access
Accounts were also considered, but lacked the functionality
required.
Scott McClintock, Senior Finance Reporting Analyst, at London Mining
explained the decision to implement SAP Business One: “In terms of
the specific functionality that we needed, it was difficult to
differentiate SAP Business One and Sage Line 500, however SAP
Business One will meet our needs not only now, but well into the
future as the company expands. The company has recently acquired an
operating mine and processing plant in China through a joint venture
arrangement and plans to commence production in Sierra Leone within
12 to 18 months. Both these operations will generate a significant
number of transactions and SAP Business One will more than support
our requirements and growth strategy.”

operations with a new office in the USA and has signed an agreement

solution in New York, USA.

The 'G/L Account Determination' window does not have a corresponding
table in SAP Business One and hence a query cannot be used to
generate the list of accounts under the different tabs (Sales,
Purchasing, General, and Inventory).
SOLUTION

In order to determine the accounts set in the 'G/L Account
Determination' window, either of the following can be done:

View them in the 'Chart of Accounts' window. Accounts
set in 'G/L Account Determination' are coloured green.

to 'Y' in the OACT table. The query below can be used.
