ESL Fuels had reached the limit of the functionality that their existing system offered, and needed a solution that was more technically innovative and featured more capabilities to help improve efficiencies and processes. Background to the case
Having assessed what key functions and areas were lacking in their previous financial system, it was evident that a new solution was required to help reduce time and effort spent on manual processes.
Having undergone a lot of research into the various solutions available, Andrew Bell, Financial Manager at ESL Fuels, decided it was SAP Business One that incorporated all the capabilities that were necessary to fuel business growth.
Andrew said: “I needed the system to be advanced, I looked into other systems such as Sage 200 and QuickBooks Professional, but felt they could not compare to SAP Business One.”
The design process was an opportunity to really break down daily, weekly, monthly and yearly tasks, Andrew noticed just how much time was being spent on manual functions.
During the design stage, Sapphire’s technical consultants were able to automate these processes in the system, helping to achieve the efficiencies that were much sought after.
The system was successfully implemented and has exceeded Andrew’s expectations, “SAP Business One is a powerful tool to drive forward business and achieve business goals.
“I have achieved all the efficiencies I wanted, our transactions are all linked together and there is complete traceability and transparency in the system.
“Instead of manually entering transactions into the system from our order management system, they are now transferred in our SAP systems as they happen, meaning they are always up to date throughout the business.
“I now can produce meaningful reports, to highlight what is going on in the business and make focussed business decisions knowing that I have an accurate base,” Andrew said.
Benefits of SAP Business One
Going into more detail as to what specific features of SAP Business have benefited ESL Fuels, Andrew mentioned, “The beauty of the system is that it sits on a Microsoft SQL Server, so you can start building view tables into the database so all the manual work is done for you.”
He added, “a significant benefit is the month end process, which used to take three days but is now down to half a day.”
Andrew also commented “Another useful benefit is as information is inputted into the system, it is actually generating reports for you. So when you do run the reports, it is so much easier and efficient.”
With the system running smoothly and the team completely happy, there is definite scope for the system to grow with ESL Fuels. “It’s completely scalable, as our business grows, SAP Business One will grow with us.”
Andrew initially shortlisted five business providers, but felt ultimately Sapphire Systems was the strongest contender and could deliver a much more efficient system.
Another driving force was the 24/5 support available, Andrew said: “The 24 hour support is extremely helpful given the nature of our business. During the winter we work a lot longer, and will use the system outside the normal business office hours. It was important to have a support service in place that would be there when we needed it.”
