To implement a new finance solution after the merger of two charities meant the company outgrew its previous solution.

Into Film was formed in 2013 after a merger of two smaller film charities, and as a result grew substantially as a business, jumping to approximately 100 staff overnight.
The organisation’s Director of Finance and Operations, Will Elkerton, said this was a key factor in the decision to upgrade to a more robust financial management solution.
“As part of the merger, one of the commitments was to seek and implement a new system. Once I joined the company, we underwent a tender process and considered a variety of solutions and providers and came to the same conclusion as our trustees – that Infor SunSystems was the best option for us. So we went live with the system at the beginning of the year,” Will said.
Being a charity, it was also important for the chosen solution not to break the budget.
“Money was always a strong consideration for us, and Infor SunSystems suited our requirements, whilst still being affordable. I also liked the way the software was based around Excel and the logic it used made sense to me as an accountant. I could see how I could tailor it to what we needed myself, without needing to spend lots of money to have someone set-up all the reporting required,” Will said.
For Will, the implementation was also more straightforward than expected.
“There are only three of us in the finance team, and I thought we would need to dedicate a lot more time to the planning. However it wasn’t too onerous, so we were able to carry on with our normal day to day jobs,” he said.
One of the main benefits of the software so far is the improved reporting and analysis.
“With our previous software there were only a few analysis dimensions we could use, so it was very difficult to produce management accounts regularly, we were basically starting from scratch each time,” Will said.
“Now it’s the first couple of months of our new financial year so I’m just working with my directors to determine what reports we need from Infor SunSystems, but I can see how it will make things a lot easier for me and my team, and provide much better reporting for all of our stakeholders.
“The ability to get information live from the system is the biggest difference for me. I used to spend three or four days every month setting up all our reporting for our directors and funders. Now, once I’ve got those reports set up, it will be as easy as clicking a button, and I can spend more time checking things, rather than playing around in Excel formatting everything for it to work,” he said.
At the beginning of the project a member of the finance team was tasked with identifying the major financial software providers and gathering quotes and information as part of the selection process for a partner. Will said Sapphire Systems was identified as part of this search.
“As we were a charity, Sapphire was able to work with us on the price. We went over and met some of the team and got a good feeling, and the consultant managing our implementation always made himself available. We have utilised the support line a few times and the service has been good, with any issues sorted out quickly.”
“So I would recommend Sapphire on both cost and customer service. Also, as one of the biggest partners in the country, you get the benefits associated with that, such as feedback on the solutions so they are always improving,” Will said.
When asked if he had any advice for other companies considering implementing a new solution, Will said the process wasn’t as difficult as he’d imagined.

“It’s something you shouldn’t be scared of, but I guess the more planning you can do the better. The more time you can run through scenarios, get your codes set-up, and think about the reporting you need from the system, the better! This will of course be different for each organisation.
“Ultimately I’m finding Infor SunSystems quite easy to use on the job, it’s not too complex and we’ve had quite a good experience with it, so we’re pleased,” Will concluded.
