Texthelp develops and provides literary software solutions that help learners of all ages to read, write, study and communicate with ease and independence. Founded in 1996, Texthelp began with a small number of employees working on a range of very basic software programmes. The company grew quickly and became innovative leaders in their industry. They increased staff numbers and product offerings, partnered with large software developers including Microsoft, Apple and Adobe, and expanded internationally with corporate headquarters in Northern Ireland and Massachusetts. Texthelp installed SAP Business One in 2003 and transferred to Sapphire in December 2012.

Managing rapid growth

Texthelp has grown exponentially over the past 17 years. It moved swiftly from a start-up business to a company that now boasts an annual revenue of £10 million,105 staff and an international subsidiary in the United States. The team at Texthelp started the business using Sage Line 50, but they quickly realised a more robust ERP solution was necessary to support their rapid growth and better suit their international expansion.

Seamus Scullion, Chief Finance Officer at Texthelp, said he and the team were essentially looking for a new business management solution that was flexible enough to grow with the company and deliver to their reporting needs. Multi-company reporting, multi-currency, and more divisions and cost centres were thus considered necessary tools in their new system.

"We really needed a solution that enabled better reporting – especially multi-currency reporting. While Sage Line 50 served the company well up to a point, I felt that it couldn't adapt to our needs as an internationally expanding company, so we began the search for a new system" he said.

SAP Business One was shortlisted and soon chosen as the ideal ERP solution. To explain the decision, Seamus said: "The breadth of reporting is excellent with SAP Business One. It gives you the opportunity to slice and dice information in any way it is required; the ability to segment up-to-date, timely information is very important to us. It also offers multi-currency reporting which was essential for our needs."

Getting the most out of an ERP solution

Texthelp first installed SAP Business One in 2003 and the Management Team quickly saw the benefits of the new solution. It delivered to their expectations and ensured they could manage and sustain their rapid growth. However despite its many advantages, Seamus and the team felt they were not fully getting the support they needed in order to utilise the solution.

"We really needed a solution that enabled better reporting – especially multi-currency reporting. While Sage Line 50 served the company well up to a point, I felt that it couldn't adapt to our needs as an internationally expanding company."

"We were not exploiting the full functionality of the system and this was frustrating for us. There were areas within SAP Business One we wanted to develop to better suit our needs and we needed greater support to facilitate this," he said.

Texthelp concluded they needed a new provider to support their solution. Seamus had heard of Sapphire on a number of occasions and contacted them to discuss his concerns and requirements. The decision to transfer the contract to Sapphire soon followed this initial discussion, as Seamus was confident they would offer a better service.

"Transferring to Sapphire made perfect sense as a business move," said Seamus. "We could see they have a real hands-on approach and there was always someone there - whether our account manager or a member of the support team - to help us during the transfer process. This took a lot of weight off our shoulders and meant all our questions were answered almost immediately."

At a turning point

Texthelp has been utilising SAP Business One to a higher standard since transferring to Sapphire. They also regularly receive information on product updates and upgrades, as well as hints and tips on the solution's various functions.

"Sapphire has been a rewarding company to work with and we are now about to take a big step forward with them by upgrading to the latest version of SAP Business One. We are at a turning point - we know we can do an awful lot more with the solution and we're looking forward to Sapphire helping us do this; which they have already begun doing by finding the gaps in our knowledge and showing us how to fill them.

"To put it simply, Sapphire engenders confidence. They deliver what they say they'll deliver and this translates to us not feeling daunted by the upgrade process. Sapphire has already proven to be the company we need to take us forward with SAP Business One and, as a result, to help us grow as an organisation," said Seamus.

Preparation is key

When asked what advice he could offer other companies looking for an alternative support provider, Seamus was quick to state that preparation is key.

"You need to get everything set up correctly from the word go. This means making sure your systems allow your company to grow and by obtaining in-depth knowledge of the product as quickly as possible. Also, make sure you have the proper training! If we had had the level of training we are now receiving from Sapphire, we could have been using the system better from day one," he said.

"To put it simply, Sapphire engenders confidence. They deliver what they say they'll deliver and this translates to us not feeling daunted by the upgrade process."

Seamus summarised by saying he is confident SAP Business One has had a major role in the on-going development of Texthelp since its implementation ten years ago.

"Our business has developed significantly and will continue to do so. We could, and most likely will, continue to use SAP Business One for the next ten years – it has definitely been worth it," Seamus finished.
