BookingPal is a cloud-based travel technology company serving the vacation rental and holiday letting industry. Its global distribution platform provides seamless real-time connectivity between 40 of the world’s leading property management software systems, 35 top consumer travel websites, and the travel agent industry.
Founded in 2013 and headquartered in Irvine, CA, BookingPal provides managed distribution via a suite of products and services specifically designed for the vacation rental industry to increase revenue, occupancy and efficiencies. As a start-up, the company had relied on small business accounting software, but by 2017, this was no longer equipped to handle thousands of clients and an ever-growing volume of transactions.
As Minh Nguyen, BookingPals’ Accounting Manager explains, “Our accounting package didn’t have the capability to generate invoices, so this meant manually inputting data and sending our invoices, which took several days. This was not only time-consuming but unsustainable as the business grew. The other problem was that our software didn’t give us the process controls to prevent human error, so data could be changed or entirely omitted. As a tech company, we recognised the need for a solution that would fit our business model over the longer term.”
Offering a comprehensive range of accounting and financial tools, BookingPal chose SAP Business One to reduce inefficiencies across the finance team, automate common processes, and provide greater control and oversight.
Sapphire and BookingPal put SAP Business One into production in early 2018. As Minh observes, “We rely on this tool on a daily basis, around 80% for financial accounting and 20% for automating customer communications or notifications. Now, we no longer need to manually input invoices – we simply upload them to the data transfer workbench and they’re sent out automatically by SAP Business One. What used to take several days can now be done in a couple of hours, freeing up resources for more value-added tasks. SAP Business One also gives us the internal controls we previously lacked across approval workflows, so we no longer suffer from missing data, and any changes that need to be made by exception have to requested via management for authorisation.”
While BookingPal’s focus was initially on streamlining financial processes, the solution offers open-ended possibilities. “We’re intending to upgrade to the latest version of SAP Business One in a few months, which will offer additional capabilities that we’ll need to explore in depth. We have various types of payment models and our business is growing all the time, so we have the potential to offer new services to clients by leveraging incremental functionality or add-ons,” says Minh.
BookingPal’s relationship with Sapphire was instrumental to the success of the implementation. “Sapphire have done a wonderful job, and we have a really personal relationship – they’re effectively an extension of our team.
